Privacy policy
How B2Automation handles personal data when you visit this website, enquire about project support or express an interest in B2B cooperation.
1. Controller and contact
The controller is B2Automation sp. z o.o., ul. Augusta Szamarzewskiego 21/2, 60-514 Poznań, Poland. For privacy questions and requests to exercise your rights, email:
2. Data we process
We receive your information directly from you. The forms require your name, email address and message. Company, skills needed or offered, location, project start, experience and availability are optional. Providing information is not a statutory requirement, but you cannot submit the form without the required fields, and we cannot reply without contact details.
The server also processes technical information needed to handle connections and prevent abuse, including IP address, request time, browser information and errors. The form sends the selected language, submission type, time you started filling it in and a random submission identifier.
Do not submit health information, identity document numbers, payment card details or confidential customer documentation. The forms do not accept attachments.
3. Purposes and legal bases
- Answering enquiries and communicating with a company representative: Article 6(1)(f) GDPR. Our legitimate interest is handling correspondence and developing business relationships.
- Discussing a service or B2B engagement at your request, where you would personally be a party to the contract: Article 6(1)(b) GDPR — taking steps before entering into a contract. This also applies to discussions with self-employed engineers.
- Operating the website, detecting spam and preventing abuse: Article 6(1)(f) GDPR. Our legitimate interest is keeping the website and correspondence secure.
- Establishing, exercising or defending specific legal claims: Article 6(1)(f) GDPR. Where correspondence becomes contract or accounting documentation, processing required by law relies on Article 6(1)(c) GDPR.
Submitting a form does not subscribe you to a newsletter or give marketing consent. We do not request consent for processing needed to answer you. An engineer introduction starts a discussion about B2B cooperation; it does not automatically add you to a database for future recruitment.
4. Who receives the data
Resend (Plus Five Five, Inc.) delivers submissions to bborowiak@b2automation.eu and ibieniek@b2automation.eu. Access is limited to people authorised to handle enquiries and cooperation. The company mailboxes are provided by dhosting.pl sp. z o.o.
The website and company mailboxes are hosted by dhosting.pl sp. z o.o. Hosting, email delivery and mailbox providers and their subcontractors may process data as needed to provide these services.
Data may also be disclosed to legally authorised authorities and legal advisers where needed for a particular matter. Submitting the form does not send your profile to customers or project partners. Any proposed profile sharing is discussed separately before disclosure.
5. Processing outside the European Economic Area
Using Resend may involve processing outside the EEA, including in the United States. A sending region does not mean all processing takes place exclusively in the EU.
Resend’s data processing addendum provides for European Commission Standard Contractual Clauses for transfers requiring those safeguards. Provider documents are linked below. Contact us for information about safeguards or a copy of the applicable clauses.
6. Retention
- General enquiries: until we have replied and closed the matter, including follow-up questions. Once correspondence is closed, we delete data that is no longer needed for the purposes below.
- Project or B2B discussions: until the discussions conclude through an agreement, rejection of the proposal or withdrawal from cooperation. If an agreement is reached, relevant correspondence may become part of the contract records. Keeping a profile for future projects requires a separate determination of purpose, legal basis and retention period.
- Legal obligations and claims: only necessary records, for the period required by law for that type of document, and for a claim until its limitation period expires or the dispute is finally resolved, if later. We do not retain every submission indefinitely for a hypothetical dispute.
- The website has no submissions database and does not write message content to application logs. It stores submission counters linked to a pseudonymous IP address hash in a protected file. Counters expire after 10 minutes and are removed on the next submission. Form input stays in the open page’s memory until cleared, submitted or the page is left; we do not use localStorage.
- Resend publishes a standard 30-day retention period for email data, with individually agreed options on Enterprise plans. This does not delete copies delivered to company mailboxes. B2Automation must delete mailbox correspondence and working copies; the form does not do this automatically. Provider logs and backups follow their retention policies and deletion cycles.
7. Your rights
Subject to the GDPR, you can request access and a copy of your data, correction, erasure or restriction. Data portability applies where processing is automated and based on a contract or consent.
You can object to processing based on our legitimate interests on grounds relating to your particular situation. If a separate process relies on consent, you can withdraw it at any time without affecting the lawfulness of earlier processing.
Send requests to the address in section 1. We normally respond within one month; if the law permits an extension, we will explain why. Where there are reasonable doubts about identity, we may request information needed to verify it.
You can complain to the President of Poland’s Personal Data Protection Office (uodo.gov.pl) or the supervisory authority in the country of your habitual residence, workplace or the alleged infringement.
9. Scope and updates
This policy covers this version of the B2Automation website and the forms described above. Following an external link or sending an ordinary email also involves your chosen provider’s services. Changes to hosting, tools or processing purposes require a policy update. The current version and update date are available on this page.
